Section 01

What information
we collect.

Information you provide directly

Account information includes your full name, business name and ABN/ACN (if applicable), email, phone number, and job title. Lead information - when you use the platform - includes customer contact details, project details, communication history, and notes. Support communications include messages you send us, survey responses, feedback, and phone call recordings (with notice).

Information we collect automatically

Usage data such as pages visited, features used, time on platform, click patterns, device type, OS, browser, IP address, and referral source. Also technical data including log files, error reports, performance metrics, and cookie data (see Section 8).

Information from third parties

When you connect third-party services we receive integration data: contact and deal information from CRMs, appointment data from calendar services, message history from communication tools, and transaction confirmations from payment processors.

Note: We do not collect sensitive personal information such as health data, financial account numbers, biometric data, or government identifiers - except ABN/ACN for business verification.

If QuoteLeads is acquired or sells assets, your information may transfer to the new owner - we'll notify you before this happens. We may also disclose information when required by law, court order, or to protect rights and safety.

International data
transfers.

Your information may be processed in Australia (primary), the United States (cloud infrastructure and service providers), New Zealand, and Europe.

For transfers from the EEA, UK, or Switzerland, we use Standard Contractual Clauses (SCCs) alongside 256-bit encryption, regular security audits, and strict vendor contracts. Request a copy of our SCCs or Data Processing Agreement at contact@quoteleads.com.au.

  • Role-based access controls - users only see what they need
  • Two-factor authentication available and enforced where applicable
  • Automated daily backups with disaster recovery procedures
Important: No system is 100% secure. While we implement industry-leading measures, we cannot guarantee absolute security. You're responsible for keeping your password confidential. Report security concerns to contact@quoteleads.com.au.
Section 07

How long we keep
your information.

Active account data
While active
All account, lead, and usage data retained for the duration of your account.
Closed account data
90 days
Retained to allow reactivation and resolve disputes. Then deleted or anonymized.
Business records
7 years
Invoices, payments, and contracts retained for legal and tax obligations.
Communication records
3 years
From last communication, for support and dispute resolution.

Analytics data is retained for 26 months anonymized. Marketing data is deleted 30 days after unsubscribing. To request early deletion, contact contact@quoteleads.com.au.

Cookies and
tracking.

Cookies are small text files that help our platform function and let us analyse usage. We use them across three categories.

Your choices

On your first visit, a consent banner lets you accept, reject, or customise optional cookies. You can also opt out directly via Google Analytics, Google Ads settings, or Facebook Ads settings.

Artificial intelligence
and automation.

QuoteLeads uses AI for lead qualification, communication automation, and performance analytics via OpenAI (GPT) and Microsoft Azure AI.

How your data interacts with AI
  • Processed only to provide the AI features you've enabled
  • Kept confidential within our service provider agreements
  • Not used to train public AI models - confirmed by provider agreements
  • AI assists but does not make final business decisions - pricing, contracts, and account changes require human approval

Section 10

Your privacy rights.

Regardless of location, you have the following rights over your personal information.

  • Access - Request a copy of your personal information
  • Correction - Update inaccurate or incomplete information
  • Deletion - Request deletion, subject to legal requirements
  • Portability - Receive your data in a machine-readable format
  • Objection - Object to processing based on legitimate interests
  • Restriction - Request we limit processing in certain circumstances
  • Withdraw consent - If processing is consent-based, withdraw it at any time
How to exercise your rights

Update information directly in your account settings. For all other requests, email contact@quoteleads.com.au with your name, account email, and the specific right you're exercising. We'll verify your identity, respond within 30 days (extendable to 60 days for complex requests), and won't charge a fee for most requests.

Section 11

Children's privacy.

QuoteLeads is a B2B platform designed for professionals. We do not knowingly collect information from anyone under 18. If we discover we have, we'll delete it immediately. Contact contact@quoteleads.com.au if you have concerns.

Section 12

Data controller vs.
data processor.

When we are the data controller

For your business and account information - company details, contact info, billing data, platform usage, and communications with us - we decide how and why your data is processed.

When we are the data processor

For your customer (lead) data - their contact details, project information, and communications - you are the data controller. We process it only on your instructions.

Your responsibilities as data controller
  • Obtain proper consent from your customers
  • Provide your customers with a privacy notice
  • Ensure you have lawful basis to process their data
  • Honour your customers' privacy rights requests
We provide a Data Processing Agreement (DPA) including Standard Contractual Clauses for GDPR compliance. Request one at contact@quoteleads.com.au.
Section 13

California privacy
rights (CCPA/CPRA).

We do not sell personal information for money. We do use cookies for targeted advertising, which California law considers "sharing" - opt out via our cookie settings or the ad platform links in Section 8.

Other U.S. state
privacy rights.

Residents of Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia have similar rights to California residents - including access, correction, deletion, data portability, and opt-out of targeted advertising. Email contact@quoteleads.com.au with your state and request. We respond within 45 days.

Section 15

Australian & New Zealand
privacy rights.

Australian Privacy Act 1988

We comply with the Australian Privacy Principles (APPs). You have the right to access and correct your personal information and to make a complaint about how we handle it. We disclose data to overseas recipients including in the United States, taking reasonable steps to ensure equivalent protections apply. If you believe we've breached the APPs, contact contact@quoteleads.com.au - we'll investigate and respond within 30 days.

New Zealand Privacy Act 2020

We comply with New Zealand Privacy Principles. Contact contact@quoteleads.com.au if you have concerns.

Section 16

Canadian privacy
rights (PIPEDA).

We comply with PIPEDA for Canadian residents. You have the right to access your information, challenge its accuracy, and withdraw consent (though this may limit services we can provide). Your information may be processed in the US and other countries. Contact contact@quoteleads.com.au with any concerns.

Section 17

UK & European privacy
rights (GDPR).

If you're in the UK, EEA, or Switzerland, GDPR applies.

  • Right to access - Request confirmation we process your data and receive a copy
  • Right to rectification - Correct inaccurate or incomplete data
  • Right to erasure - Request deletion in certain circumstances
  • Right to restrict processing - Limit how we use your data
  • Right to data portability - Receive your data in machine-readable format
  • Right to object - Object to processing based on legitimate interests or direct marketing
  • Right to withdraw consent - Without affecting prior lawful processing
  • Automated decision-making - Challenge decisions made solely by automated means

You have the right to lodge a complaint with your local data protection supervisory authority if you believe we have not complied with applicable privacy laws.

Section 18

Data breach
notification.

If a breach occurs affecting your personal information, we will investigate and contain the issue immediately, notify you within 72 hours of discovery where required by law, notify relevant supervisory authorities, and provide clear information about what happened, what data was affected, what we're doing about it, and what you should do.

Report security concerns to contact@quoteleads.com.au - urgent issues receive a response within 24 hours.

Do Not Track &
SMS messaging (TCPA).

Do Not Track signals

We don't currently respond to Do Not Track signals as there is no universal standard. Use the opt-out tools in Section 8 to control tracking. If DNT standards are established we'll update this policy accordingly.

SMS & text messaging

If you're in the United States: by providing your mobile number you consent to receive service-related texts. Message and data rates may apply. To opt out at any time reply STOP, update preferences in account settings, or email contact@quoteleads.com.au. Reply HELP for assistance. We do not share your mobile number with third parties for their marketing.

Sections 21 & 22

Policy changes
and contact.

Policy updates

We may update this policy to reflect changes in our practices, new features, or legal requirements. Updates take effect on the date listed at the top. For material changes we'll notify you by email and post a notice on the platform. Previous versions are available on request.
